Sending Mail
To send an email:
- Login to mc²
- Click on My Mail [orange menu bar, top right, when logged in]
- Click on Create Message [towards top left, on maroon mail menu bar]
- Enter the recipients email address in the To field, i.e. write the full email address of the person you want it to go to
- Ensure you enter email addresses correctly!
- Enter a Subject. This is the only line of text the recipient will see before deciding whether to read your mail or delete it, so it is important! Keep it short, clear and descriptive. Subject's like "Hi, it's me!" tend to look like SPAM, and will be deleted, unopened and unread. Better would be "Admin meeting 9am Tue 8 July 2003", so the recipient has clear information, even before opening the email to read it's contents.
- Enter a short, but detailed message. Be precise & succinct, if you wish to convey details. Even if you're just being chatty, overly-long emails may not get read thoroughly or immediately, due to the recipients time limitations or other priorities, so don't waste your time or theirs!
- If you wish to attach any files [pictures etc.] to your message, click the grey "0 attachments" button below your message. Keep the filesize of attachments small! Large attachments may be rejected by the recipients mail server, or clog up their mailbox, so they can't receive any more mail. See also: Attachments (Glossary Definition)
- You may wish to preview your message, or check the spelling. This is your last chance to delete anything you'd rather not have put in writing! Remove any angry, abusive, offensive or rude words, or delete things that you might regret, or could come back to haunt you! What if you sent it to the wrong person, in error? What if it went to the right person, but they forwarded your comments on to somebody else?
- Remember to observe the Code of Conduct, and think before you send!
Don't SPAM (send unsolicited mail to multiple addresses)
- Be respectful and polite, observe good Netiquette. See also: Master the Basics: Netiquette and E-Mail Etiquette
- If you need to check some details, before sending your message, or you just want time to reconsider its contents before sending, then click save draft. You can return to complete or correct your draft when you have further details or more time. When your draft is finally complete, you can send it.
- By default, mc² will preserve a copy of your message in the Sent folder.
-
Once an email is sent, it cannot be retrieved, even if you delete your own copy. If you are sure you have addressed your mail correctly, and are happy with its contents, then click on the grey send button, under your message towards the bottom of the page.
- Remember, it is not possible to guarantee the absolute security of anything on the Internet! You should be aware that there are always risks in transmitting or storing information electronically. We recommend that you think very carefully before posting anything anywhere on the Internet that is highly confidential or sensitive - there can be no such thing as total security. More on Security

Enter email addresses correctly!
Ensure you enter the full email addresses, and that it is typed correctly, e.g. myfriend@hotmail.com or myotherfriend@mc2.vicnet.net.au. Hotmail addresses don't have a .au at the end, mc² WebMail addresses do! Yahoo addresses may, or may not, end in .au, depending on how your friend set up their email address. Valid email addresses should have a personal identifyer [e.g. name &/or number], then an @ symbol, then a domain name [e.g. Hotmail], then dot something [com, gov, edu, asn, org etc.]. There may, or may not, be a final 2 letter country code.
If you don't enter a valid email address, with the correct syntax [& no typos!], your mail cannot be delivered! You may receive an undelivered mail notification alerting you to this fact, i.e. your mail "bounces" back to you. You will need to correct the error and send again. You may also get a bounce message if the recipients email box is full. They will have to remove some of their mail from their mailbox [delete from their mail server] before your mail can get through. You can't email them to tell them their email's not getting through[!], but maybe you can call them? You can try to send the mail again in a few hours [or days], when they have had a chance to clear their mail.
